This Privacy Policy explains how JobSims LLC, doing business as Simulos ("Simulos," "we," "our," or "us"), collects, uses, shares, and protects your personal information when you use our website and services at simulos.ai (the "Service"). We are committed to protecting your privacy and complying with applicable data protection laws, including the General Data Protection Regulation (GDPR).

Simulos is a platform for practicing difficult workplace conversations. Because of what our members practice here, privacy is not just a compliance exercise for us. It is the product. The commitments in Section 4 are the foundation of the Service.

Our Service is not intended for individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us personal data, please contact us for deletion.

1. Who We Are

Simulos is operated by JobSims LLC (doing business as Simulos), located at 2502 Beall St. Unit D, Houston, TX 77008. We are the data controller responsible for your personal information. You can contact us at support@simulos.ai with any questions or requests.

2. Information We Collect

From everyone:

  • Display name and email address (we use passwordless email login. Signing in verifies your email)

  • Login timestamps, browser type, and technical metadata

  • Cookies and analytics information (see Section 10)

From members (people practicing conversations):

  • Practice role-play recordings. Our simulations are live video role-plays with an AI avatar. Before each session begins, we ask your consent to record it; if you decline, the session does not run and nothing is recorded. Recordings include your video, audio, and transcripts.

  • Your consent decisions. For every session we log what you consented to, the wording version you saw, a timestamp, and, where a specific coach was named, which coach.

  • Your self-reflection responses. After a practice session, we ask you to reflect on how it went; your responses are stored with your session.

  • What you tell us you want to practice (e.g., on the waitlist form or in scenario selection)

  • Booking and payment information for coaching sessions, processed by Stripe (we do not store full card numbers)

From coaches:

  • Profile information (name, credentials or relevant background, specialty, links you provide)

  • Your signed platform agreements. The acceptable-use agreement all coaches sign, and, for coaches in our public network, the confidentiality agreement, with the version signed and a timestamp

  • Subscription, billing, and session-usage information; payout account information via Stripe Connect

What we deliberately do not collect: we do not ask for and do not want your employer's confidential information. Simulations are fictional scenarios. Do not disclose real company confidential information in a role-play. We do not use your recordings to biometrically identify you.

3. How We Collect Information

  • When you sign up or sign in (passwordless email)

  • When you run a practice simulation (with the before-session recording consent described above)

  • When you book, reschedule, or attend a coaching session

  • When a coach invites you to a simulation by link or email

  • When you or a coach make payments through the Service

  • Via cookies, analytics tools, and contact or waitlist forms

4. Our Confidentiality Commitments

These commitments define the Service:

  • Your coaching conversations are not recorded by Simulos. Live 1:1 sessions between you and your coach are not recorded by Simulos.

  • Your practice role-plays are recorded only with your consent, asked before every session begins. Consent is per-session, not assumed from a previous session. If you decline, the session does not run and nothing is recorded. (If a session fails for technical reasons and you retry it, the retry is the same session under the consent you already gave. Not a different simulation or a different coach.)

  • How sharing works depends on how you got here, and we tell you plainly before recording:

    • If you are practicing on the Simulos platform (for example, your free simulation), your consent covers recording only. We will not share that recording with any other party, including coaches, without your separate, explicit consent. Sharing with a coach happens only when you later choose one (for example, when you book a session with that coach for feedback), and that consent names the coach and covers the specific recording.

    • If your own coach invites you to a simulation, we name that coach before the session starts, and your consent covers both the recording and that named coach's access to it.

  • Access is per-coach and per-recording. A coach can only view the specific recordings you authorized for them. Not your other sessions. You may withdraw a coach's access at any time.

  • We will not share your practice content with your employer, or any third party, without your explicit, informed consent, which you may withdraw at any time. There is no employer access to individual content on this platform, by design.

  • Coaches are bound to protect your content. Every coach agrees to acceptable-use terms prohibiting misuse of recordings stored in the system. Coaches in our public coaching network, the coaches you can discover and book through Simulos, additionally sign a confidentiality agreement prohibiting them from recording outside the platform, retaining, repeating, or sharing anything from your practice or sessions, including to your employer. If you were invited by your own coach, your coach's professional obligations to you are between you and them.

The narrow exceptions. We may disclose information where required by a valid legal order, or to prevent imminent harm to a person. We will notify you of any such demand unless legally prohibited.

5. How We Use Your Information

  • To create and manage your account and bookings

  • To run video simulations. The AI provides the practice environment (your role-play partner); feedback and coaching come from the human coach you choose, not from the AI

  • To deliver a shared role-play to the specific coach you authorized

  • To process payments, coach subscriptions, session metering, and payouts (via Stripe)

  • To communicate about your account, bookings, and sessions (transactional email via Postmark)

  • To improve the Service and analyze product usage (see Section 10)

We may use your email address for transactional communications (booking confirmations, session reminders, simulation invitations from your coach, account notices). We do not send marketing email without your explicit consent. We will not sell your personal information.

AI processing. Simulations are powered by third-party AI services under commercial agreements, including conversational AI and speech services (such as OpenAI and Deepgram), avatar and video infrastructure (such as Tavus and LiveKit), and cloud storage. We configure these vendors to limit retention where the vendor supports it. We do not use your identifiable practice content to train AI models; any product-improvement analysis uses anonymized or aggregated data only.

6. Legal Basis for Processing

  • Contractual necessity: providing your account, simulations, bookings, and payments

  • Consent: recording your role-play sessions, sharing a recording with a coach, and any optional marketing or non-essential cookies

  • Legitimate interests: securing and improving the Service

7. Sharing of Information

We share information only with:

  • The coach you choose. The specific role-play recordings you consented to share, and the booking details of your session with them

  • Stripe. Payments, coach subscriptions, and coach payouts

  • Service vendors. The AI, video, email, and hosting providers described in Section 5, only as needed to run the Service

  • Analytics providers. Google Analytics, Cloudflare, PostHog (see Section 10)

We do not share individual practice content with employers or sponsors. If we ever offer employer-sponsored access, sponsors would receive only aggregated, de-identified usage information.

8. Your Rights

Under GDPR and similar laws, you may request access, correction, deletion, portability, or restriction of processing. In addition, regardless of where you live:

  • You can delete your role-play recordings at any time from within the Service or by emailing us.

  • You can withdraw a coach's access to a shared recording at any time.

To make a request, email support@simulos.ai. We may require identity verification and will respond to verified requests within 30 days.

9. Data Retention

We retain personal data only as long as necessary for the purposes above. Role-play recordings are retained only with your consent and are deleted on your request. We retain billing and subscription records as required by law (e.g., tax and accounting rules) even if you delete your account. Anonymized, aggregated usage data may be retained for analytics.

10. Cookies & Analytics

We use cookies and third-party tools (Google Analytics, Cloudflare, PostHog) to analyze site usage, clicks, page views, navigation flows, UTM parameters, and referral sources, to improve the product. Behavioral data is pseudonymized where possible and not sold or shared for advertising. You will be informed when non-essential cookies are used and may decline them.

11. Data Security

We use HTTPS encryption, encrypted storage, and role-based access controls, and we scope access so that a recording is readable only by you and a coach you have authorized. No platform is 100% secure; please use judgment about what you disclose in any online service.

12. International Transfers

We may process or store data using vendors located outside the U.S. Where applicable, we rely on standard contractual clauses (SCCs) or similar safeguards.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If material changes occur, we will notify you via the Service or email.
